Privacy Policy
Your data belongs to you. This policy explains what we collect, why, and how we keep it safe.
1. Who we are
WILDWOLF Ltd (“WILDWOLF”, “we”, “us”, “our”) is a company registered in England and Wales that produces and delivers biologically-appropriate dog food. We are the “data controller” responsible for your personal data under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
Our registered address is Unit 7, The Old Creamery, Frome, Somerset, BA11 1WW. You can reach our data team at [email protected].
2. What we collect
We only collect what we need to feed your dog well and run our business responsibly. This includes:
- Account & contact details — your name, email address, phone number and delivery address.
- Dog profile — your dog's name, breed, age, weight, activity level and any dietary notes you share, so we can portion and formulate correctly.
- Order & payment information — the products you buy and your subscription schedule. Card payments are processed by our payment provider; we do not store full card numbers.
- Communications — messages you send us by email, phone or our contact form.
- Technical & usage data — IP address, device and browser type, and how you use our website, collected via cookies and similar technologies (see our Cookie Policy).
3. How we use it
We use your personal data to:
- Create and manage your account and subscription;
- Calculate feeding plans and fulfil, deliver and support your orders;
- Respond to your enquiries and provide customer care;
- Send service messages about your orders and deliveries;
- Send marketing about products and offers, where you have chosen to receive it;
- Improve our recipes, website and service through analytics; and
- Comply with our legal and regulatory obligations.
4. Legal basis for processing
We rely on the following lawful bases under UK GDPR: performance of a contract (to provide the products and services you order); legitimate interests (to run, secure and improve our business in ways you would reasonably expect); consent (for optional marketing and non-essential cookies, which you can withdraw at any time); and legal obligation (for example, keeping records for tax and accounting).
5. Sharing your data
We never sell your personal data. We share it only with trusted partners who help us operate, and only to the extent necessary:
- Payment processors, to take payment securely;
- Delivery and logistics partners, to bring your order to your door;
- IT, hosting and analytics providers who support our systems; and
- Professional advisers and authorities where required by law.
All processors are bound by contract to protect your data and use it only on our instructions.
6. Data retention
We keep your personal data only as long as necessary for the purposes above. Account and order records are typically retained for the life of your account and for up to six years afterwards to meet legal and accounting obligations. Marketing preferences are kept until you unsubscribe or ask us to delete them.
7. Your rights
Under UK data protection law you have the right to access your data; to have inaccurate data corrected; to request erasure; to restrict or object to processing; to data portability; and to withdraw consent at any time. You can exercise these rights by contacting [email protected]. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk, though we'd appreciate the chance to help first.
8. Security
We use appropriate technical and organisational measures — including encryption in transit, access controls and regular reviews — to protect your data against loss, misuse and unauthorised access. No system is perfectly secure, but we work continually to keep your information safe.
9. Children
Our services are intended for adults aged 18 and over. We do not knowingly collect personal data from children. If you believe a child has provided us with personal data, please contact us and we will delete it.
10. Changes to this policy
We may update this policy from time to time to reflect changes in our practices or the law. When we make material changes, we will update the “last updated” date above and, where appropriate, notify you directly.
